Handling a Departing Employee's Reap Card

When an employee leaves your company, it’s important to secure their Reap account and card access. Follow these steps to freeze their card, back up their transaction history, and remove their profile if needed.

  • Freeze the card immediately to prevent any use

  • Back up all transactions before removing the employee

  • Contact Reap if they are a Business Representative or Owner

Freeze the Card Immediately

Log into the Reap Dashboard and go to the card details. Select Edit Card and choose Freeze to immediately stop any further transactions.

💡 Freezing the card does not delete the employee’s profile—it only disables the card.

Back Up Transactions

Before deleting the team member’s profile, make sure you’ve done either of the following:

  • Sync their transactions to your accounting integration, or

  • Export their full transaction history as a backup

Check If the Employee's Profile Can Be Deleted

In the Dashboard, go to the Team tab and locate the employee. You can delete them if they are not listed as a Business Representative or Business Owner.

Contact Us If They Are a Representative or Owner

If the employee is a Business Representative or Owner, contact us before they leave. Email hello@reap.global so our Customer Success team can help with the necessary checks before securely removing their profile.
