Overview
Each entity in Reap has its own team. Admins can invite users to their entity independently, even if those users already belong to another entity under the same organization. Once a user accepts the invitation, they can switch between entities directly from the dashboard.
Note: All team members must be invited using a business email address. Personal email addresses are not accepted.
If your organization manages multiple entities in Reap, you can give team members access to one or more of them based on their role and responsibilities. Before you begin
To invite a team member to an entity, you will need:
- Admin access to the entity you are inviting them to
- The team member's business email address (personal email addresses are not accepted)
Invite a team member to your entity
You can invite someone to join your entity even if they already have a Reap account linked to a different entity. The process takes just a few steps.
- Go to Team in the left navigation of your dashboard.
- Click + Add Team Member.
- Enter the team member's business email address.
- Select the appropriate role and permissions for this entity.

Click Send Invitation.
The team member will receive both an email notification and a dashboard notification prompting them to accept.
Accept an invitation
When a team member receives an invitation, they need to:
- Open the invitation from their email inbox or from the notification in the Reap dashboard.
- Review the entity name and the role they are being assigned.
- Click Accept to confirm.
After accepting, the new entity will appear in their account immediately.
Important: The team member must use the original invite email to accept. Forwarded copies of the invitation link will not work.
Switch between entities
Once a team member belongs to more than one entity, they can switch between them using the entity dropdown in the bottom navigation bar. Selecting a different entity updates the dashboard to show that entity's data and settings.
Troubleshooting
If a team member is unable to join an entity, check the following:

| The invitation link is not working | Make sure the team member is using the original invite email, not a forwarded copy |
| The invite was sent to the wrong email address | Resend the invitation to the correct business email address |

Frequently Asked Questions
Can a team member belong to more than one entity?
Yes. A team member can be added to multiple entities. Each entity will have its own role and permission settings for that user. They can switch between entities from the dashboard at any time.
Does the team member need a separate Reap account for each entity?
No. One Reap account can be linked to multiple entities. The team member logs in once and uses the entity dropdown in the navigation bar to switch between them.
Why must invitations be sent to a business email address?
Reap requires business email addresses to keep access consistent and secure across entities. Personal email addresses are not accepted when inviting team members.
What happens if the invited user has not accepted yet?
The invitation remains pending. Admins can view pending invitations on the Team page and resend them if needed.
