Who this is for: Finance Admins and Cardholders
What this article covers: This article is for finance admins and cardholders who need to categorize transactions, upload receipts, or check payment status in Reap Direct.
Overview
The Card Transactions table now lets you set or fix a transaction's category and upload a receipt directly from the row, no need to open each transaction. The Reap Pay table shows a payment's category without opening it. Category editing works differently on each: inline on the Card table, in the payment detail view on Reap Pay.

Categorize a Card Transaction
Use this to fix a miscategorized transaction or assign one that's missing a category, without opening the transaction detail.
- Find the transaction in the Transactions table under Cards.
- Click the Category cell in that row.
- A dropdown appears, grouped by category type. Scroll to the group you need and select the category.
- The change saves automatically. No save button, no need to open the transaction.
Categorize a Reap Pay Payment
Use this to confirm or update the category on a bill payment.
The category is set when the payment is created. To view or change it:
- Find the payment in the Payments table.
- Click the category shown in the row.
- This opens the payment's detail view with the category field editable. Update it there.
Upload a Receipt on a Card Transaction
Use this to attach a receipt to a transaction without opening its detail view.
- Look at the Attachment column in the Transactions table.
- A document icon means a receipt is already attached.
- A plus icon means one is missing.
- Click the plus icon to open a file picker and upload the receipt.
Find Transactions Missing a Receipt
Use this to: see every transaction that still needs a receipt, in one view.
- Open the Filters panel above the Transactions table.
- Set Receipt to Not attached.
- The table now shows only transactions missing a receipt. Upload directly from the Attachment column.
Check a Transaction's Status
Transaction status (Pending, Cleared, Declined) is shown using the filter tabs above the table, not as a column.
| To see | Do this |
|---|---|
| Pending transactions | Click the Pending tab |
| Cleared transactions | Click the Cleared tab |
| Declined transactions | Click the Declined tab |
| Full status detail for one transaction | Click the transaction row to open its detail view |
Declined transactions also show a Declined label next to the merchant name in every view.
Find Deposits and Repayments
Deposits and repayments are no longer shown in the Card Transactions table.
| Looking for | Go to |
|---|---|
| Deposits | Treasury table |
| Repayments | Balance & Statements |
Frequently Asked Questions
Why can't I edit a Payments category the same way I edit a Card category?
Card categories are auto-assigned by merchant code, and those auto-assignments are sometimes wrong, so Card is built for quick, frequent correction right in the table. Payment categories are chosen manually when you create the payment, so they're rarely wrong by the time you see them, and editing lives in the payment's detail view instead.
I can't find the memo or invoice number for a Payment. Where did it go?
It's still there, just not in the table. Click the payment row, or the category cell, to open the detail view, where memo, bill number, and invoice number are all shown together.
The category dropdown is long. How do I find the category I need?
Categories are grouped by type, for example Travel, Transportation, Marketing, and Supplier. Scroll to the group heading that matches what you're looking for, then pick the specific category within it, rather than scrolling through one long list.
Why does the transaction amount look different from before?
The Amount column now converts each transaction into your entity's currency using the current FX rate, so you can compare spend across currencies without doing the math yourself. If you need the original transaction currency and amount, that's still in the transaction's detail view.
Where did the transaction Status column go?
Status now lives in the Pending, Cleared, and Declined filter tabs above the table, plus full detail inside each transaction. You don't lose visibility either way: declined transactions still show a Declined label next to the merchant name, even outside the Declined filter.
Where did the Cleared date go?
It's moved to the transaction detail view, one click away, so the table itself shows fewer columns at a glance. Click into any transaction to see it alongside the transaction date.
Where do I find Deposits and Repayments now?
They've moved out of Card Transactions into their own views: deposits are in the Treasury table, repayments are in Balance & Statements. Card Transactions now shows card spend only, which keeps it focused on day-to-day review.
