Overview
You can automatically match receipts to transactions by forwarding them to your business's dedicated Reap email address. The system reads the receipt, extracts the amount, vendor, and date, and links it to the matching transaction. Once matched, a finance admin can review and approve or reject the match.

Find your receipt forwarding email
Each business has a unique email address for receipt matching. To find yours:
- Go to Settings in the left sidebar
- Click Card
- Select the Email for receipt forwarding tab
Your dedicated email address is shown under Your dedicated email address. Click the copy icon next to it to copy it to your clipboard. Share it with your team or set up auto-forwarding rules in your email client to route receipts automatically.
Forward a receipt
Send or forward an email with the receipt attached to your dedicated Reap email address. Each attachment is matched independently, you can include multiple receipts in a single email.

For best results, make sure the receipt clearly shows the transaction amount, vendor name, and date.
View receipts on your transactions
When a receipt is matched to a transaction, it appears in the transaction list with an icon in the Receipt column. You can also track review progress in the Review column.
- Go to Cards → Transactions in the left sidebar

Check the Review column on the right. Each icon represents a review status:

The drawer shows:
- Transaction review status — shows the current status (e.g., Pending) with an Edit link to update it
- Category — assign a category using the dropdown
- Upload receipt — view, add, or remove attached receipts
- Note (optional) — add a note for the transaction
Upload a receipt manually
If a receipt didn't match automatically, you can attach it directly to a transaction.
- Go to Cards → Transactions.
- Click the transaction you want to attach a receipt to.

In the Transaction details drawer, scroll to Upload receipt.
- Drag and drop a file or click the upload area to select a file from your computer
- Click Add another file to attach additional receipts
- Click Save.
You can also add a note in the Note (optional) field and assign a Category using the dropdown before saving.
Approve or reject a match
Once a receipt is attached, a finance admin can review it and mark it as approved or rejected.
To approve:
- Open the transaction details (click the transaction row)
- Click Edit next to Transaction review status

In the modal, select Approved.
- Click Save
The transaction will show a checkmark (✓) in the Review column and a confirmation message will appear.
To reject:
- Open the transaction details
- Click Edit next to Transaction review status

In the modal, select Rejected
- Enter a reason — a reason is required before you can save
- Click Save
The transaction will reflect the rejected status in the Review column.

Frequently Asked Questions
I forwarded a receipt but it didn't match. Why?
The transaction may not have posted yet — the system retries daily for 7 days. The receipt may be blurry or in a format that's hard to read. Or the receipt details may not be close enough to any transaction on file. If it still hasn't matched after 7 days, attach it manually from the transaction details drawer.
Can I forward receipts from any email address?
Yes. The dedicated email address accepts receipts from any sender.
I sent more than 100 receipts in one email. Will they all be processed?
Only the first 100 are processed. Split large batches across multiple emails.
How long does matching take?
Most receipts are processed within a few minutes. Large batches or busy periods may take longer. If the transaction hasn't posted yet, the system retries daily for up to 7 days.
The receipt matched to the wrong transaction. What do I do?
Open the transaction details, click Edit next to Transaction review status, select Rejected, and enter a reason. Then find the correct transaction and upload the receipt manually. If you need help, contact Reap Support.
Can I attach multiple receipts to one transaction?
Yes. In the transaction details drawer, click Add another file under Upload receipt to attach additional files.
Can I remove a receipt from a transaction?
Click the delete icon (🗑) next to the attached file in the transaction details drawer, then click Save.
Something not working?
- Verify you're sending to the correct dedicated email address (Settings → Card → Email for receipt forwarding)
- Confirm the receipt is in a supported format (PDF, JPG, JPEG, PNG)
- Check that the receipt clearly shows the amount, vendor, and date
- Wait up to 7 days for the system to retry matching
